Need experienced Administrative Assistant for temporary position within Management Department of public entity. Duties include: Providing high level of customer service to public, representatives of other agencies, & City staff, in person & over the telephone; Arranging meetings, scheduling appointments, & transmitting information to applicable parties; Answering & directing public inquiries, taking messages & providing information as needed; Drafting & preparing various correspondence, including emails, letters, & memos, ensuring accuracy & professional tone; Managing calendars, including scheduling appointments, meetings, & conferences, & coordinating with other departments & external parties; Organizing meal arrangements for council meetings; Scanning physical documents & converting them into digital formats; Filing & organizing paper & electronic documents according to established procedures; Performing light bookkeeping duties & processing payments, invoices, & purchase orders; Performing clerical duties such as preparing reports & documents while focusing on proper format, grammar, punctuation, & spelling; Assisting with projects, research, or tasks under general direction of higher-level staff; Performing detailed office support work accurately & independently within deadlines; Establishing & maintaining effective & cooperative working relationships; Using good judgment in dealing with public & responding to requests for information; Handling variety of activities simultaneously; Using initiative while working within established guidelines & procedures. Required qualifications: High school diploma/equivalent; 1 yr. office administrative support or records management exp.; Exp. dealing with the public; Strong front-office administration skills/exp.; Ability to handle customer questions & complaints; Knowledge of standard office administrative practices & procedures, including use of standard office equipment; Business letter writing skills; Techniques for preparing informational materials & standard format for reports, correspondence, & other written materials; English usage, spelling, grammar, & punctuation; Knowledge in work related computer applications for word processing, database, & spreadsheets, with emphasis on MS Office Suite & Adobe Acrobat; Knowledge of records management principles & practices; Understanding of business arithmetic & basic statistical techniques; Techniques for providing high level of customer service to public, representatives of other agencies, & City staff, in person & over the telephone; Able to learn to use specialized software as implemented. Spanish language skills are desirable. Anticipated work schedule is Mon-Fri/8:00am-5:00pm. Full-time, Temporary position. Approx. 4-6 month duration. Wage: $23.11-$29.33 hr.
