Under direction of Branch Manager, will provide positive first impression to clients, customers, coworkers, & general public. This position is responsible for general administrative, coordination, & clerical support to Branch Office & Staff. Duties include: Operating telephone switchboard; Answering, screening, & forwarding calls; Providing information, taking messages, & scheduling appointments; Performing administrative support tasks such as proofreading, transcribing handwritten information, & operating calculators or computers to work with pay records, invoices, balance sheets, bank deposits, & other documents; Dispensing Personal Protective Equipment, paychecks, & job applications as appropriate; Holding initial employee orientation, including presentation of safety video; Answering applicants’ questions; Dispensing & tracking employee timecards; Greeting persons entering office, determining nature & purpose of visit, & directing or escorting them to specific destinations; Hearing & resolving complaints from clients, temporary employees, & general public; Filing & maintaining records, including set-up of files for new clients; Transmitting information or documents to clients, using computer, mail, or facsimile machine; Assisting with recruitments & job placements as needed; Providing administrative or other support to Account Executives/Sales Team on request; Providing information about company &/or services provided; Maintaining positive image in reception area by keeping neat, clean, & orderly workspace. Required qualifications: 2 yrs exp. in progressively responsible administrative business positions; Knowledge of administrative & clerical procedures & systems such as word processing, managing files & records, stenography & transcription, designing forms, & other office procedures & terminology; Demonstrated proficiency in computers, including MS Office software; Excellent phone etiquette; Ability to develop specific goals to organize work & prioritize tasks in order to accomplish goals; Flexible & responsive to client & company needs; Attention-to-detail; Demonstrated strong interpersonal skills; Demonstrated excellence in time management & organizational skills; Strong written & verbal communication skills; Ability to effectively present information in one-on-one & small group situations to customers, clients, & other employees of organization; Ability to read & comprehend instructions, short correspondence, & memos; Ability to apply common sense understanding to carry out detailed written or oral instructions; Ability to deal with problems involving a few concrete variables in standardized situations; Knowledge of structure & content of English language; Able to provide clear & useful information in courteous & helpful manner to public, prospective employees, vendors, clients, supervisors, & coworkers, in written form, via e-mail, & in person; Able to demonstrate positive customer service image; Able to gain basic understanding of technology utilized by company; Able to quickly gain understanding of relationship of all company positions to each other & their impact on meeting company goals.
